Guidelines for AFIT Reps
The AFIT Rep serves as the main point of contact between their organization and AFIT in areas such as
administration, planning, logistics, and facilitation of team learning activities, and is the main conduit of
communication and provider of support to their CEO regarding AFIT activities and events. Based on the CEO and
the organization's AFIT Team needs, the following responsibilities are incumbent upon the Rep.

Communication Activities
With Your CEO
- Talk with your CEO about their goals, ideas, needs, and expectations related to AFIT themes and learning partners.
- Discuss the makeup of your AFIT Team and projects in which the team might participate.
- Communicate information about the CEO Forum and Reps Meeting and the Summer Institute and develop plans for participation and involvement.
With AFIT
- Reply to emails from AFIT to give input and represent your organization in planning.
- Reply to emails from other AFIT Reps to help everyone benefit from the network. o Send emails with questions to AFIT to make sure you understand current plans.
With Your Organization’s AFIT Team
- Communicate AFIT updates, plans, learning partner information, Reps Meeting, and Summer Institute information to your team.
- Share with others at your institution the learning that occurred at the Summer Institute, including the designated readings, activities, and best practices, to build an understanding of AFIT as a learning and professional development organization and opportunity.
- Support team member sharing of information to a broad audience that you as a Rep might not be able to reach by yourself.
Planning Activities
With your CEO
- Plan for participation in the winter CEO Forum and Reps’ Meeting.
- When needed, work travel logistics with the appropriate administrative assistant.
- Plan for facilitation of team learning. o Plan for participation in the AFIT Summer Institute.
- Think of “best practices” or “lesson learned" to be shared at the Summer Institute as a breakout session that could be presented by your organization.
With AFIT
- Participate in AFIT discussions, both in meetings and through email messages, to give input that represents your organization and your CEO.
- Participate in AFIT discussions to help provide input into the Summer Institute learning design.
- Participate in the Rep’s meetings.
Facilitation Activities (Facilitating Team Discussions and Team Learning)
Before the Summer Institute
- Schedule and facilitate team meetings (including the CEO) to focus on Summer Institute learning objectives, reading resources, and team goals, and possibly a team project.
- Read the designated reading resources.
- Schedule follow up team meetings to be held back home for team discussions after the Summer Institute.
- Plan for the team table for the Summer Institute (learning resources, snacks, etc.). o Discuss the idea of wearing organization shirts at the Summer Institute with the team and make a determination along with other similar ideas you may have.
- Collect information about restaurants in the area where the Summer Institute will be held and make team dinner reservations as desired.
- Identify any dietary restrictions as part of the planning and communicate that information to AFIT to assure that everyone is accommodated.
- Assist with travel logistics where necessary.
- Collect information about area tourist sites to visit at night (museums, baseball games, concerts, etc.) if your team is interested.
During the Summer Institute
- Participate in the Rep’s meeting.
- Support other Reps in logistical concerns and tips for team success.
- Locate and “set up” the team table.
- Help facilitate team learning during presentations by asking team members to silently take notes and to talk when teams are asked to have table discussions.
- Help monitor time for table discussions.
- Facilitate team learning during designated team time sessions.
- Encourage team members to complete the Summer Institute participant feedback form.
After the Summer Institute
- Plan agendas for follow up team meetings (including the CEO).
- Facilitate follow up team meetings.
- Plan sharing from the Summer Institute across the organization as appropriate.
- Work with the CEO to ensure that plans are developed to implement the learning.
